Cancellation Policy 

31 Day Notice of Cancellation is Required to receive a Full Refund of Payment

Cancellations received within the 31 day window of event date will be handled accordingly

15-30 Days Notice – A Cancellation Fee of 30% of the Rental Items Will be Charged ( Deposit )
5-14 Days Notice – A Cancellation Fee of 50% of the Rental Items Will be Charged
1-4 Days Notice – No Cancellations or Refunds will be given
Cancellation fees are charged since item(s) have been held, cleaned, and prepared for the rental order. These fees help recuperate the labor and potential lost rentals for holding the equipment.

* Exceptions – Management reserves the right to make exceptions or allowances to payment and cancellation policies on a case by case basis as deemed necessary. Any and all arrangements must be in writing and signed by the manager authorizing such arrangements.

Terms & Conditions

Reservation Policies

To reserve any rental item(s), a down payment is required. The required down payment is 30% of the total rental order. Any order under $150 requires full payment at the time of reservation. Orders placed with less than 24 hours’ notice are subject to an additional 30% rush fee. All reservations are binding, and both parties agree to honor the Rental, Reservation, and Cancellation Policies outlined herein. Quotes are valid for 14 days from the date issued. Quotes do not reserve equipment or delivery time slots. Reservations are confirmed only after the customer signs the quote and submits the required deposit, creating a rental agreement between the customer and TNS Party Rental. All customers must initial all contract entries and/or agree via electronic signature. By doing so, the customer agrees to all policies, fees, damage charges, lost rental fees, and replacement costs associated with the rental order. Payment for all rental agreements is due at the time of delivery.

Scheduling & Delivery Policy

All delivery schedules are finalized on Tuesday evenings during the week of the event.

  • Saturday event deliveries are generally completed on Friday.

  • Sunday event deliveries are generally completed on Saturday.

Delivery timing may be adjusted based on weather conditions. TNS Party Rental monitors forecasts closely and may reschedule deliveries earlier or, when necessary, to the morning of the event to ensure equipment safety and cleanliness.

Site Preparation Policy

The renter must ensure the site is fully prepared before the delivery crew arrives, including:

  • Lawns mowed

  • Furniture moved

  • Vehicles removed

  • Clear access to setup area

A minimum of 7 feet of clearance is required around all tents for safe installation and anchoring.

Tents may be secured using stakes and/or water barrels. Customers are responsible for providing access to water when water barrels are required.

Customers acknowledge that:

  • Stakes may be driven into grass, dirt, or similar surfaces.

  • Water barrels may be required for concrete installations.

  • Additional fees may apply if the site is not accessible or prepared upon crew arrival.

  • Equipment may not be delivered if setup conditions are unsafe or inaccessible.

Customers are solely responsible for identifying:

  • Sprinkler systems

  • Water lines

  • Gas lines

  • Sewer lines

  • Underground utilities

  • Landscaping features

TNS Party Rental is not responsible for damage to underground utilities, landscaping, concrete, asphalt, lawn lights, or similar property features.

All personal items must be removed from tents prior to pick up. Tables and chairs must be cleaned, secured, and stacked inside the tent before scheduled pickup.

Additional Delivery Fees

Rental pricing is based on standard “Normal Condition” setups.

Additional delivery and setup fees may apply when delivery locations require additional labor or time due to accessibility challenges.

Situations that may incur additional fees include, but are not limited to:

  • Stairs

  • Elevators

  • Rough terrain

  • Rock landscaping

  • Setup locations more than 100 feet from legal/safe parking

TNS Party Rental does not deliver to basements unless the basement is ground level accessible.

All additional charges are assessed on a case-by-case basis.

Permit & License Responsibility

The customer grants TNS Party Rental permission to enter the specified delivery property for delivery and pickup of rental equipment.

Rental items may only be used at the address listed on the rental agreement.

Customers are responsible for inspecting all rental items upon delivery and notifying TNS Party Rental immediately of any defects or concerns.

Customers are solely responsible for obtaining:

  • Permits

  • Licenses

  • Property approvals

  • Any required governmental or municipal authorizations

TNS Party Rental is not responsible for underground utilities during tent installations, including sprinkler systems or irrigation lines.

Cancellation & Deposit Policy

Deposit requirements are based on the timing of the reservation:

  • 15+ days before event: 30% deposit required

  • 8–14 days before event: 50% deposit required

  • 1–7 days before event: Full payment required

All deposits are applied toward the final balance.

Cancellation Schedule

A minimum of 31 days’ notice is required for a full refund.

If a site visit has been completed and a deposit was made, the deposit is non-refundable.

Cancellation fees within 31 days of the event are as follows:

  • 15–30 days before event: 25% cancellation fee

  • 5–14 days before event: 50% cancellation fee

  • 1–4 days before event: No refunds or cancellations permitted

Cancellation fees compensate for labor, preparation, cleaning, scheduling, and lost rental opportunities.

Management reserves the right to make written exceptions on a case-by-case basis.

Rain Date Policy

TNS Party Rental understands that weather conditions can be unpredictable and offers flexible rain date accommodations whenever possible.

Rain Date Requests

Rain dates may be requested:

  • At the time of booking

  • Up to 72 hours prior to delivery

Rain dates are subject to availability and must be confirmed by TNS Party Rental.

To guarantee both the original date and a rain date, an additional 30% fee will apply.

Notice of rescheduling must be provided no later than 24 hours prior to delivery.

Deposits are non-refundable but may be credited toward a weather-related rescheduled event.

If the customer cancels without rescheduling, standard cancellation fees apply.

Day-of Weather Cancellations

If the crew arrives for setup and the customer cancels due to weather:

  • Delivery fees

  • Labor fees

  • Restocking fees

may still apply.

Once equipment has been delivered and installed, no refunds or credits will be issued due to weather conditions.

Weather & Safety Policy

Tents are temporary structures designed to withstand most normal weather conditions; however, severe weather conditions may create unsafe situations.

Customers are responsible for evacuating tents during:

  • High winds

  • Thunderstorms

  • Lightning

  • Unsafe weather conditions

Tents should be evacuated immediately when winds exceed 35 MPH.

TNS Party Rental is not liable for injuries, damages, or losses caused by:

  • Windstorms

  • Rain

  • Lightning

  • Floods

  • Tornadoes

  • Hail

  • Fire

  • Acts of God

  • Vandalism

  • Terrorism

  • Natural disasters

  • Other unforeseen events

Customers are responsible for implementing appropriate evacuation and safety procedures for all tented areas.

Damage Waiver Fee

A non-refundable Damage Waiver Fee equal to 4% of the gross rental order is applied to all rental agreements.

The Damage Waiver covers minor accidental damages caused by normal usage during the event.

The Damage Waiver does not cover:

  • Theft or missing equipment

  • Intentional damage

  • Vandalism

  • Improper use

  • Weather-related negligence

  • Damage caused by improper electrical current or voltage

The Damage Waiver Fee is taxable and cannot be removed or waived.

Return of Equipment, Damage, Theft & Loss

Customers are responsible for all rental equipment from delivery until pickup.

Customers are financially responsible for:

  • Missing items

  • Damaged items

  • Theft

  • Negligence

  • Vandalism

Customers authorize TNS Party Rental to keep a credit card on file and charge for missing or damaged equipment as necessary.

All rental items must be returned:

  • On time

  • In the same condition received

  • Properly cleaned

  • Properly packaged or stacked

Customers are responsible for securely storing all rental items until pickup.

Failure to make equipment available for pickup may result in additional service charges.

Indemnification & Hold Harmless

Customers agree to indemnify, defend, and hold harmless TNS Party Rental, its employees, officers, and representatives from any claims, liabilities, damages, injuries, losses, costs, or expenses, including attorney fees, arising from the use of rental equipment.

Saving Clause

If any provision of this agreement is found to be invalid or unenforceable, all remaining provisions shall remain fully enforceable.

Customers acknowledge they have received proper instructions for the safe use of all rented equipment or represent that they are already familiar with its proper operation.

All rental items must only be used for their intended purpose and in accordance with manufacturer guidelines.
